Questions around Hosting a Retreat?

Booking process

Q : What’s the process for hosting a retreat at Samahita?

A : To host your own retreat at Samahita please complete the online application form which includes rates and available dates. Once approved our team will work with you to secure suitable dates and organize your retreat.

Q: Is a deposit required?

A : There is a 25% non-refundable deposit to secure your booking and practice space at Samahita, based on the Shared Two-Bedroom Loft rate. Other room types can be requested after your deposit payment has been received, subject to availability. The deposit amount is included in your overall contract rate, and will be deducted from your final bill.

Q : What are the minimum requirements?

A : We ask you to commit to bringing a group of 10 guests in order to make it worthwhile for both you as a teacher traveling to Thailand and for us to hold a practice space for your retreat. We expect you to market your retreat in order to meet this requirement.

Q : Can Samahita take care of the bookings?

A : Teachers are responsible for bringing their own students and taking the bookings for Guest Teacher Programs, working with our Reservations team.

Q : When are my payments due?

A : The 25% deposit is due immediately to secure your dates. 45 days before your retreat begins your final balance is due.

Q : What can I include in my retreat?

A : All guests can enjoy a complimentary guided beach and temple walk. You also have the option to include other excursions like a boat and snorkeling trip, a waterfall excursion or trip to the night markets on the island. We also offer yoga and fitness classes that can be included, depending on availability. Other add-ons include wellness programs or massage packages, airport transfers and material printing. Please specify in your booking form.

Q : What’s included for teachers?

A : We offer great teacher benefits including complimentary accommodation, meals, airport transfers, massage and discounts at our wellness center and eco shop. Benefits start at 10 students and for larger groups assistant benefits are also included – please see your retreat agreement.

Q : What if I need to cancel my retreat?

A : Retreat cancellation results in loss of the 25% non-refundable deposit paid to secure the booking. Retreat postponement can be requested one time only, at least 6 months in advance of retreat start date and will be charged an administration fee of $100.

Q : How should I price my retreat?

A : Retreat prices vary widely depending on teacher costs, teaching hours, and budget of students. At a minimum, retreats should be marked up enough to cover travel and teaching costs, even with a small group of 10.

Q : Does Samahita Retreat support with marketing?

A : Yes, we will create a web page for your program and feature it on our annual retreat schedule as a Guest Teacher Program. Booking links will be directed to your website. We will also post about it on our social media channels (Facebook and Instagram) including any photos, blogs and videos you wish to share.

Q : Can I book the whole center?

A : Yes, at certain times of the year it is possible to have exclusive use of the center if you plan to bring a large group. Please indicate that you wish to book the entire center in your application and we will confirm available dates. You will be expected to pay for all rooms.

Q : Will there be other retreats at the same time?

A : There is generally 1-2 different retreat or training groups at the same time, assigned different practice spaces. In addition, we will have guests on our in-house programs. Unless you have exclusive use of the center in which case you will be in the only group.

Q : How many rooms will be allocated to me?

A : You will need to specify an initial allocation of rooms and room types for your group. This should be monitored regularly and any changes communicated with our reservations team. If spaces are not being filled, we will need to reduce your allocation.

Q : Is there a fixed schedule?

A : Meal times are fixed unless you have exclusive use of the center (group of around 60). Class times are flexible, as you will be allocated a shala for the week. We will send you a sample schedule to fill in including complimentary excursions and times in case you want to include them.

Q : Do you proved yoga mats and props?

A : We recommend that guests bring their own yoga mats. We have a small number of mats to lend at reception or guests can buy a mat at our shop. We provide blocks, straps, cushions and bolsters. Please specify in your application if you need specific props or a large amount of them.

Q : Can guests arrive earlier or stay after the retreat?

A : Yes guests may book directly with us to join our signature YogaCoreCycle program before or after your retreat, depending on availability.

Travel & weather

Q : How do my guests get from the airport to Samahita Retreat?

A : We provide an airport transfer service in air-conditioned cars. Transfers can be requested by completing this online form. Transfers can also be included as part of your retreat package. Please specify in your agreement.

Q : Do you have information on traveling to Thailand and Koh Samui?

A : Yes, please see our recommendations here.

Q : What are the seasons like in Koh Samui?

A : January – February. Highs of around 30C
March – April. Things start to heat up and can reach a steamy 40C – perfect for sun worshippers.
May – June. The temp starts to dip again, with a few tropical rainstorms thrown in to clear the air.
July – September. Highs of around 35C , with some bouts of rain, usually only lasting a few hours.
October – November. The favourite time of the year for many Samui expats , when the temperatures drop to a balmy 25C with some stunning thunderstorms thrown in for good measure.
December Highs of around 30C with occasional rain to keep the island lush, green and tropical.

Accommodation & Facilities

Q : How many and what types of rooms do you have?

A : We have 40 rooms total: 20 private rooms suitable for singles or couples, 6 semi private rooms suitable for 2 people sharing with private bedrooms, 12 shared loft rooms suitable for 2 people sharing, and 2 one-bed suites. Please see here for more details.

Q : What is included in the rooms?

A : All rooms include the following modern amenities:

Please note that there are no phones or televisions in our guest accommodations except for the One-Bed Suites.

Q : Do you have massage services?

A : Yes, we have a full onsite wellness center with add-on detox programs and massage treatments available for your guests. Please see here for more info. You can add 3 x 60-min Total-Self-Care therapies at a 30% discount to your retreat package.

Q : Can guests bring children?

A : We are family friendly, and children are welcome. We only ask that you help us maintain the serenity of our center, particularly at practice times, in the mornings before 10am and in the evenings. Children age 12 and under can stay free with one paid adult. If you are bringing a child, you must pay for a private room. Children from 13 to 17 pay half, and those 18 and above must pay full adult rate.

Q : Do you have a babysitting service?

A : Yes, usually one of our staff members can babysit in their free time, though we cannot guarantee that they will speak English. We have our dedicated kid’s center to accommodate kid’s needs.

Q : Can I smoke or have alcoholic beverages in my room?

A : No. We are a place of health and wellbeing, therefore a smoke and alcohol-free center.

Q : Do you have Internet service? Can guests bring their laptops?

A : Yes, we have WiFi throughout the property.

Q : What VAT or service charges should I expect to pay while I am in Thailand?

A : There is a VAT charge of 7% on items you buy from a shop, as well as on taxis and massages. At Samahita Retreat the VAT and service on your accommodation is included in your booking rate. We have a staff tip box at reception for you or and your guests to leave a gratuity if you like. This gesture is usually made when checking out, 250 baht a week is usually appropriate.

Q : Do you accept credit cards?

A : Yes, we accept Visa and Mastercard at the center for any additional bill items. Retreat payments must be settled in full before arrival.

Food

Q : Are meals included?

A : Yes all buffet meals are included in the rates. Additional food and drinks may be purchased from our juice bar.

Q : Do you serve meat or is all the food vegetarian?

A : We serve mainly vegetarian food with one fish dish daily. Eggs are available to order and are included in the brunch offering every day. For those that do not take fish or eggs, there is always an alternative protein option available. Milk is available as well as homemade rice milk, soya milk and yoghurt. Q : Do you cater to food allergies / sensitivities?

A : Yes. Every single menu served at our buffet is detailed on the black board just outside the dining hall. On it you will find clearly noted symbols stating whether the dish is vegan / gluten free or contains wheat, dairy or eggs etc. Our chef will make special meals if needed for anyone allergic to certain foods.

Q : Do you serve coffee or tea?

A : We have self-service tea and coffee in our Sattva Dining restaurant from 6.45am to 1pm, and herbal tea at dinner time from 6-8pm. Tea and coffee, including bulletproof coffee, can also be ordered throughout the day at our juice bar. This will be added to your room bill.
